Every Child Valued (ECV) – Social Media and Communications Policy

Purpose
Every Child Valued (ECV) uses online platforms — including but not limited to our website, WhatsApp, Facebook, Instagram, and YouTube — to communicate with the community and highlight our mission.
This policy safeguards the privacy, dignity, and safety of all ECV students, families, and staff while ensuring compliance with New Jersey State Law, FERPA, and the Children’s Online Privacy Protection Act (COPPA).
1. Photographing and Recording
Prohibited Content No individual may post, upload, or share any photograph, video, or recording of ECV students, families, or staff members without written consent from:
The student’s parent or legal guardian (for minors), and/or
The staff member shown; this includes images or videos obtained by any device (phones, tablets, computers, or cameras).
Permitted Content Photos or videos may only be posted when written consent is on file and the content has been reviewed and approved by the ECV Director or authorized designee prior to posting.
Live Feeds Live streaming or “live feed” postings involving ECV participants are strictly prohibited unless:
Written consent is on file from all featured individuals or their guardians, and
The event and content are pre-approved by the ECV Director.
2. Privacy and Confidentiality
Posting or sharing private, confidential, or identifying information about any current or former ECV student, family, or staff member is prohibited. This includes addresses, contact information, health or educational records, or personal family details.
All ECV representatives, volunteers, and contractors are expected to uphold confidentiality consistent with applicable state and federal privacy laws.
3. Standards of Conduct
Vulgar, discriminatory, threatening, defamatory, or harassing language or imagery on any platform connected to ECV is prohibited.
Posts that disparage or misrepresent ECV, its staff, or participants in a false or harmful manner may result in disciplinary or legal action.
All individuals communicating online in connection with ECV must do so respectfully and professionally.
4. Use of ECV-Owned Media
Authorized Use ECV retains the right to use and share photographs, videos, and testimonials for which it has obtained proper written consent for purposes such as:
Program promotion
Grant reporting
Educational materials
Public relations or fundraising campaigns
Media Ownership and Control Any photographs, videos, or digital media captured by ECV staff, volunteers, or contracted professionals in the course of official ECV activities are the exclusive property of Every Child Valued. These materials may not be used, copied, sold, or distributed by any individual or organization without written authorization from the ECV Director.
Revocation of Consent Parents, guardians, or staff members may revoke consent for future use of their likeness by submitting a written notice to the ECV Director. Upon receipt, ECV will make reasonable efforts to discontinue future use of that individual’s image in new materials.
5. Enforcement and Reporting
Any suspected or confirmed breach of this policy must be reported immediately to the ECV Director.
Violations may result in disciplinary action, termination of volunteer or employment privileges, or removal from ECV programs.
ECV reserves the right to take legal action where appropriate.
6. Policy Review
This policy is reviewed annually to ensure compliance with current laws, regulations, and best practices governing child privacy and nonprofit communications in New Jersey.
