Tuition and Fee Payment Policy

The Board of Trustees establishes tuition rates and fees for all Every Child Valued (ECV) programs. Fee structures are typically set at least six weeks prior to the start of each program. The following policy governs tuition collection and payment procedures.
1. Communication of Fees and Registration
Tuition rates, fees, and application guidelines will be communicated to parents/guardians by program staff prior to registration.
Parents/guardians are strongly encouraged to submit payments on time to avoid late fees or interruptions in service.
Tuition is due at the time of registration, unless a formal payment plan is approved in advance.
2. Payment Options by Program
After School Program
Tuition may be paid in full at registration or in ten (10) monthly installments (September through June).
Monthly installment payments are available only when paying by credit card.
Summer Program
Tuition may be paid in two installments: 50% due at registration and the remaining balance due one month later.
3. Hardship Adjustments
The Executive Director may approve a hardship payment plan or tuition adjustment for parents/guardians who provide documentation of financial need.
Upon request, program staff will assist families in applying for financial assistance from appropriate external agencies.
Partial tuition waivers may be approved by the Executive Director in accordance with Board-approved guidelines, and such waivers will be reported to the Board of Trustees at the next regularly scheduled meeting.
ECV’s policy goal is that no child shall be denied access to programs due to a family’s genuine inability to pay.
4. Attendance and Refunds
Tuition is not reduced or refunded for participant absences.
If a student is withdrawn from a program, tuition will be prorated through the end of the week following written notice of withdrawal submitted to the program staff.
5. Late Payments
Payment due dates and late fee schedules are published on the ECV website for each program.
Parents/guardians will be notified if a payment is late.
All late payments must be received by the end of the same week they are due.
Failure to pay all outstanding tuition and late fees by that time may result in the student’s suspension from the program until the balance is paid in full.
6. Amendments
The Board of Trustees reserves the right to amend this policy at any time. Parents/guardians will receive timely written notice of any policy changes that affect them
